Locations: Lake Elsinore & Menifee
We are seeking a highly organized, resilient, and hands-on Administrative Assistant to support the Administrator and clinical leadership in running compliant, 6-bed Intermediate Care Facilities for individuals with developmental disabilities and skilled nursing needs (ICF/DD-N). This is not a desk-only role — the right person moves fluidly between the office, the floor, and the community.
Core Responsibilities
Scheduling & Staff Coordination
- Build and maintain Direct Care Staff schedules across both facilities
- Adjust coverage in real time for call-offs, no-shows, and leave — including nights and weekends
- Supervise and support Direct Care Staff; help hold the team to performance and documentation standards
Compliance & Regulatory Support
- Support ongoing compliance with Title 17, Title 22, 42 CFR Part 483 (Conditions of Participation), and Lanterman Act requirements
- Respond to and help manage CDPH/state surveys when the Administrator is unavailable, including Life Safety and Emergency Preparedness reviews
- Assist with Plans of Correction, corrective action tracking, and audit readiness
- Help maintain resident records, MARs, and required documentation in our EMR/eMAR system
Clinical & Resident Support
- Pass medications (per facility policy and training)
- Coordinate and transport residents to medical, psychiatric, and dental appointments
- Support IDT/IPP processes and follow-through on care plan items
Communication & Advocacy
- Serve as a reliable point of contact with Inland Regional Center service coordinators, case managers, families, and conservators
- Communicate clearly and professionally by email and verbally, often on tight timelines
- Support IDT meetings and documentation of resident care coordination
Training & Development
- Assist with new-hire orientation, in-service training, and competency check-offs
- Reinforce specialized care procedures (G-tube, ostomy, catheterization, wound care, blood glucose monitoring, oxygen delivery) consistent with facility protocols
Community & Enrichment
- Plan, create, and lead resident outings and community integration activities
Coverage
- Cover Direct Care shifts as needed
- Participate in the on-call rotation every other weekend
What This Role Really Demands
Our homes serve medically and behaviorally complex residents in a heavily regulated environment. The ideal candidate stays calm when a weekend call-off collides with a scheduled outing and a surveyor at the door. You'll need to switch between spreadsheet and bedside without losing either. If you're someone who follows through, documents as you go, and treats compliance as care rather than paperwork, you'll do well here.
Requirements
- Prior supervisory experience (required)
- Strong written and verbal communication skills
- Valid California driver's license and ability to safely operate a wheelchair-accessible van
- Reliability, flexibility, and sound judgment under pressure
- Willingness to work on-call every other weekend and adjust hours to facility needs
Preferred
- Experience in an ICF/DD, RCFE, group home, or skilled nursing setting
- Familiarity with IRC/regional center processes and Lanterman Act services
- Current medication administration training and CPR/First Aid
Compensation: $27.00 per hour
